Google SSO Product Privacy

  1. Google Single Sign-On

Beebug provides Google Single Sign-On to allow authorised users of participating organisations to access Beebug services, including our helpdesk system, using their organisation’s Google Workspace account.

Google SSO is used as an authentication service. Its purpose is to verify the identity of the person signing in and associate that person with the appropriate organisation and user account within Beebug’s systems.

  1. Information We Receive From Google

When you sign in using your Google Workspace account, Beebug receives limited information from Google.

This may include:

  • your name;
  • your email address; and
  • an identifier associated with your Google account where required for authentication.

We only request information necessary to identify and authenticate the user.

  1. How We Use Google Information

Information received through Google SSO is used to:

  • authenticate your identity;
  • identify the organisation to which you belong;
  • associate you with the appropriate Beebug helpdesk or service account;
  • allow you to securely sign in; and
  • maintain the security of the authentication service.

Google user information obtained through SSO is not used for advertising or marketing purposes.

We do not sell Google user information.

  1. Google Services We Do Not Access

Using Google SSO to sign in to a Beebug service does not give Beebug general access to your Google Workspace account.

Our Google SSO integration does not access the contents of your:

  • Gmail;
  • Google Drive;
  • Google Calendar;
  • Google Contacts;
  • Google Docs, Sheets or Slides; or
  • other Google Workspace content.

The integration is used to establish your identity for authentication purposes.

  1. Storage and Sharing of Google SSO Information

Information required to identify your account, such as your name, email address or account identifier, may be stored within Beebug’s systems while your account or your organisation’s use of the relevant Beebug service remains active.

We do not share information obtained through Google SSO with third parties for advertising or marketing purposes.

Information may be processed by service providers where this is necessary to operate or secure the Beebug service, or disclosed where required by law.

We apply appropriate technical and organisational security measures to information obtained through Google SSO.

Our use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements.

  1. Removal of Google SSO Information

If your Google SSO account is no longer required, information associated with the authentication account will be deleted or anonymised when it is no longer reasonably required, subject to applicable legal, contractual and security retention requirements.

If you wish to request deletion of personal information associated with Google SSO, please contact support@beebug.co.uk.

Where the account is provided through your employer, school or other organisation, you may also contact that organisation.

Microsoft SSO Product Privacy

  1. Microsoft Single Sign-On

Beebug provides Microsoft Single Sign-On to allow authorised users of participating organisations to access Beebug services, including our helpdesk system, using their organisation’s Microsoft 365 or Microsoft Entra ID account.

Microsoft SSO is used as an authentication service. Its purpose is to verify the identity of the person signing in and associate that person with the appropriate organisation and user account within Beebug’s systems.

  1. Information We Receive From Microsoft

When you sign in using your Microsoft account, Beebug may receive limited information necessary to identify and authenticate you.

This may include:

  • your name;
  • your email address or User Principal Name (UPN); and
  • an identifier associated with your Microsoft account where required for authentication.

We only request information necessary to identify and authenticate the user.

  1. How We Use Microsoft Information

Information received through Microsoft SSO is used to:

  • authenticate your identity;
  • identify the organisation to which you belong;
  • associate you with the appropriate Beebug helpdesk or service account;
  • allow you to securely sign in; and
  • maintain the security of the authentication service.

Microsoft user information obtained through SSO is not used for advertising or marketing purposes.

We do not sell Microsoft user information.

  1. Microsoft Services We Do Not Access

Using Microsoft SSO to sign in to a Beebug service does not give Beebug general access to your Microsoft 365 environment.

Our Microsoft SSO integration does not access the contents of your:

  • Exchange Online mailbox or email;
  • OneDrive files;
  • SharePoint files;
  • Microsoft Teams messages;
  • Microsoft Calendar; or
  • other Microsoft 365 content.

The integration is used to establish your identity for authentication purposes.

General Privacy Information

  1. Lawful Basis for Processing

Where Beebug acts as a data controller, we process personal information only where we have an appropriate lawful basis under applicable UK data protection legislation.

Depending on the circumstances, this may include:

  • processing necessary to perform a contract or take steps before entering into a contract;
  • our legitimate interests in operating, securing and providing our business and services;
  • compliance with a legal obligation; or
  • consent, where consent is the appropriate lawful basis.

Where Beebug processes personal information on behalf of a customer, such as a school, Beebug will normally act as a data processor and the customer will remain the data controller.

In those circumstances, we process personal information in accordance with the customer’s instructions and our contractual and legal obligations.

  1. How We Protect Personal Information

We take appropriate technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration, loss or destruction.

Depending on the systems involved, these measures may include:

  • access controls;
  • multi-factor authentication;
  • encryption;
  • security monitoring;
  • backups;
  • system and software updates;
  • restrictions on staff access; and
  • security policies, procedures and staff training.
  1. Sharing Personal Information

We do not sell personal information.

We may use trusted suppliers and service providers to help us operate our website, systems and services.

Where another organisation processes personal information on our behalf, we take appropriate steps to ensure that suitable data protection and security arrangements are in place.

We may also disclose personal information where required by law or by a court, regulator or other lawful authority.

  1. International Data Transfers

Some of the technology and cloud services we use may involve personal information being processed outside the United Kingdom.

Where Beebug is processing information on behalf of your school, employer or another customer, you should normally contact that organisation in the first instance.
